KINFO: Tietosuojakäytännön päivitys / Updating privacy policy

Tiedoksi TYK ry:n jäsenille,

EU:n alueella astui voimaan uusi tietosuoja-asetus (General Data Protection Regulation) 25.5.2018 alkaen. Uuden asetuksen on tarkoitus parantaa yksityisten tietojen tietoturvaa sekä parantaa läpinäkyvyyttä tietojen säilyttämisestä. Haluamme hallituksen puolesta tuoda esille miten säilytämme henkilökohtaisia tietoja:

Yhdistyksemme rekistereihin pääsee käsiksi vain nykyinen hallitus.

Olemme poistaneet jäsenrekisteristä kaikki osoite- ja puhelinnumerotiedot, ja tästä eteenpäin säilytämme jäsenistämme: nimen, kotikunnan, koulutusohjelman, sähköpostiosoitteen, jäseneksi liittymisvuoden sekä jäsenyyden voimassaolovuoden.

Rekistereissämme ei tulla enää säilyttämään vanhoja tietoja, poistamme siis tulevaisuudessa kaikki tiedot jäsenistä jotka eivät maksa jäsenyyttään määräaikaan mennessä. Myös kaikkiin tapahtumiin kerätyt henkilö- ja allergiatiedot poistetaan heti tapahtuman jälkeen.

Tärkeä huomio kaikille, jotka eivät ole maksaneet tämän vuoden jäsenmaksua!

Vanhat jäsenet jotka eivät ole maksaneet tämän vuoden jäsenmaksua poistetaan kesäkuun lopussa,
tämä siis tarkoittaa että tieto jäsenyyden pituudesta häviää. Jos siis haluatte joskus ikijäseneksi (vaatii 5 vuoden jäsenenä olon) ilmoittakaa halukkuutenne jatkaa jäsenyyttä sähköpostilla tietohallinto at tykry.fi,  niin säilytämme teidän tietojanne syyskuun loppuun asti, jolloin voitte käydä toimistolla uusimassa jäsenyytenne ilman tietojen menettämistä.

Nykyisille ja tuleville ikijäsenille tiedoksi.

Kaikkien nykyisten ja tulevien ikijäsenten tulee sitoutua päivittämään muuttuvat yhteystietonsa, jotta voimme säilyttää heidän tietonsa rekisterissämme. Alla linkki suostumukseen.

Notice for TYK ry's members,

New EU regulation on data protection (General Data Protection Regulation) came into effect on 25.5.2018.
The new regulation is intended to improve the security of private data and to improve the transparency of data storing. On behalf of TYK ry's board, we want to explain how we manage personal information:

Our records can only be accessed by our current board.

Phone numbers and addresses have been removed from members registry, from now on we will only store members' name, state of residence, email, year of becoming a member and ending year of membership.

We will no longer store old data in our records, so in the future we will remove all information about members who do not pay their membership by the deadline. This concerns mostly members who want to become senior members (requires 5 years as a member), if a member doesn't pay their membership yearly they lose the information about their previous memberships.
Also personal information gathered for events, will all be deleted after the events.

Members who haven't paid this year's membership, will be deleted from our registry in the end of June.

If you haven't paid this year's memberhip but you would like to keep your information for senior membership, you can send email to tietohallinto at tykry.fi. We will then store your information at the end of September so you have time to come renew your membership.

Senior members need to give us their commitment to update their changing personal information so we can keep their information in our registry.
